A digital planning environment makes coordination and decisions traceable

How a shared planning environment brings organisers, planners, authorities and operational staff to one information state – with prerequisites and limits.

Updated: · MOVETOS

A shared digital planning environment can make collaboration between organisers, specialist planners, authorities and operational managers easier by bringing information, responsibilities and processing status together in a structured way.

Different planning states

When an event is prepared, security-relevant information arises in different places. Site plans are revised, technical requirements agreed, measures defined and decisions coordinated between several parties.

The challenge is not necessarily missing information but often that different people work with different planning states.

Five possibilities

A suitable digital planning environment therefore opens up several possibilities:

  • Shared information state: Authorised participants access current planning documents and overviews of measures.
  • Role-based collaboration: Information and editing rights can be assigned according to each person’s responsibilities.
  • Structured coordination: Queries, comments and open tasks can be linked directly to the planning areas concerned.
  • Traceable decisions: Changes, approvals and the basis for decisions can be documented.
  • Handover into event operations: Relevant planning information can be made available to emergency services, event management and operational coordination.

Viewing planning variants together

Of particular interest is the option to view different planning variants together. Changes to entrances, visitor routes or technical locations, for example, can be agreed with the departments involved at an early stage.

Prerequisites and limits

Prerequisites are suitable access rights, clear responsibilities and binding approval processes. The technical availability of information replaces neither its professional assessment nor a required official decision.

Conclusion

Digital collaboration creates added value above all when individual planning documents become a shared, usable information basis. It can simplify coordination, make decisions more traceable and support the transition from planning to operational implementation.
